Overview

We are seeking an Administrative Assistant to support the work of our Human Resources Team. S/he will be responsible for assisting the VP of Human Resources, and managing ongoing administrative workflow within the team. Ideal candidates will have an interest in long-term growth within the HR field.

 

Responsibilities

  • Administrative support for the VP of Human Resources including calendar management, meeting coordination, conference call facilitation, and travel logistics.
  • Serving as first point-of-contact for the VP of HR and HR team by fielding and responding to all internal and external written, phone and in-person inquiries.
  • Scheduling team meetings, preparing agenda, taking minutes and coordinating needed follow-up.
  • Accurately and efficiently organizing and maintaining department’s digital and paper files.
  • Processing invoices; tracking and monthly reporting on department’s budget and expenses.
  • Assisting with drafting, formatting, finalizing and distributing internal and external communications, presentations, and reports.
  • Streamlining and creating replicable processes wherever possible.
  • Integrating sustainability into processes, standard operating procedures, and adopted business practices as part of conducting core job responsibilities.

Qualifications

  • Bachelor’s degree or equivalent experience.
  • 1 – 3 years administrative experience, preferably in an executive support role
  • Strong organizational, prioritization and planning skills.
  • Excellent interpersonal and customer service skills for managing relationships with staff and candidates.
  • Working knowledge of HR topics and processes; ability to maintain discretion while handling confidential information.
  • Ability to take direction, think creatively and proactively suggest solutions.
  • Excellent verbal and written communication skills.
  • Solid command of Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook.
