The Durst Organization is the managing partner of the 3 million square foot office tower responsible for tenant fit-out, leasing and property management. The Durst Organization is currently building two mixed-use residential buildings. 855 Avenue of the Americas is a 570,000 square foot residential rental tower above an office and retail base and W57th Street is a 709 unit rental building above 45,000 square feet of retail. Both projects are slated for completion in 2015.

    Overview

    We are seeking to identify an administrative assistant to effectively manage all administrative, communication, and operational taks of  the busy office of a luxury residential tower in Astoria, Queens. The successful candidate will be able to perform and complete assigned projects/duties with minimal supervision; interact with supervisors, employees, and the perspective residents and adapt to practices and procedures related to the office.  He/she will also need to maintain confidentiality of information and be able to work effectively despite interruptions.

    Responsibilities

    • Responsible for answering phones and scheduling appointments
    • Retrieve and respond to all voice mail enquiries and forward messages to appropriate Leasing Associates and Managers
    • Greet clients and present a welcome sheet upon arrival
    • Ensure  welcome sheet is completed correctly by Broker/Client
    • Enter daily traffic into Access database
    • Daily traffic and weekly traffic is to be emailed to the Leasing Owners and Management
    • Overview  reports are to be emailed to the Leasing Manager on a monthly basis
    • Assist  with preparation of lease renewal forms and ensuring confidential leasing documentation is forwarded to the appropriate party
    • Responsible for logging and filing copies of lease documents such as leases, lease renewals, checks, move in/out inspection forms, are forwarded to the      management office
    • Create forms for residential services and follow-up with residents of occupied units that need to be shown to future prospective residents
    • Perform other related duties as required and assigned

    Qualifications

    • Bachelors Degree or equivalent experience 
    • Excellent organizational skills
    • Excellent written and verbal communication skills
    • Computer skills including advanced knowledge of Microsoft Office Suite
    • Previous experience in leasing is a plus
