  • Overview

    This position will provide administrative support to the Senior Vice President of Construction and Design, as well as Project Managers within the department.


    • Manage Department Calendars to include: meeting coordination, follow up and related logistics.
    • Process contractor, vendor, and consultant invoices
    • Create work orders, billing memos, and change orders as required
    • Obtain, review, and maintain certificates of insurance and related documents
    • Update and maintain relevant documentation in the relevant software system
    • Create maintain and update cost tracking spreadsheets for all Construction projects
    • Coordinate and maintain files relevant to department projects,
      • (Includes: scanning all documents, creating an electronic project file for each project, tracking receipt of all execute work orders, and certificates of capital improvements)
    • Perform other miscellaneous duties as requested by Senior Vice President or Project Managers


    • High School Diploma or equivalent
    • Associate’s degree preferred
    • Three (3) years of administrative experience
    • Intermediate to Advanced proficiency in software applications including Microsoft Word, Microsoft Excel, and Microsoft Outlook
    • Ability to work under pressure and coordinate multiple tasks simultaneously
    • Excellent organizational skills and interpersonal skills
    • Effective oral and written communication skills
