    The Building Services Representative (BSR) assists the Building Services Manager and interacts with a diverse group of internal and external clients. BSR will Oversee building services operations for Commercial Properties to ensure tenant satisfaction. The BSR will use independent judgment to plan, prioritize, and organize workload to ensure highest value and best services are provided.


    Tenant Services

    • Ensure smooth operations of Tenant’s cleaning and subcontracted services through continuously monitoring the performance of all services
    • Conduct daily/weekly/monthly inspections of the base building and tenant spaces.
    • Negotiate new Contracts / with new incoming tenants
    • Solicit existing tenants for new sales.
    • Walk potential jobs, create proposals, coordinate with operations, execute contracts and monitor to make sure job is completed.
    • Monitor and follow-up on tenant contract cancellations/ reductions.
    • Coordinate with vendors to supply proposals and execute outside work. Follow-up on invoicing. Determine corrects costs, taxes, markups etc.
    • Manage the development of marketing materials and promotional items
    • Manage and prepare the distribution of holiday cards and gifts
    • Resolve internal and external issues with diplomacy, speed and accuracy
    • Establish and maintain enduring Tenant relationships to ensure highest value and best services are provided. Plan tenant lunches, dinners and events.
    • Process all billing for miscellaneous non-contractual services performed and billing changes
    • Promote Company’s recycling program
    • Prepare Cleaning departments budget and review budget variances
    • Consistently tracks problems and requests, assures follow up
    • Ability to effectively listen and respond to our customers’ needs
    • Perform other related duties as required and assigned

    Administrative Duties

    • Prioritize, organize, prepare and distribute internal/external documents, including memoranda, letters, reports, presentations, etc., and ensures accuracy thereof
    • Ensure accurate maintenance of digital and paper documents and databases for efficient retrieval and disposition
    • Field and prioritize incoming calls and correspondence
    • Assist with special projects as directed
    • Maintain discretion in the handling of confidential information
    • Carry out routine tasks with little supervision
    • Act as liaison with other departments as necessary
    • Perform other duties as defined by assigned department
    • Oversee the changes needed in Aware for the Preventive maintenance program
    • Issue the monthly PM reports from Aware to the supervisory staff
    • Back-up coverage for Building Services Admin – complete Payroll, work orders, etc. 

    Operations Support

    • Responsible for assisting in overseeing general cleaning and maintenance of daytime building services employees.
    • Responsible for distribution of base building work schedules, tenant periodic work and ensuring work completion as per building standard.
    • Provide quality control services to building standards and conduct daily inspections.
    • Responsible for maintaining open and on-going communication with costumers/ tenants; ensured quality of service to develop and maintain customer satisfaction.
    • Responsible for providing schedules for emergency responses such as snow storms and floods.
    • Responsible for Safety and Health Controls following a training schedule as outlined by OSHA regulations.
    • Process paper work and implement training for all new hires.
    • Follow up on tenant requests with work orders, radio calls and building staff.
    • Notify Manager of any repeat tenant issues or significant problems.
    • Maintain daily absentee log to ensure replacement can be obtained in timely manner.
    • Update and distribute phone numbers and emergency list as needed.
    • Responsible for covering   other supervisors areas while they are out.


    • 4 year accredited college degree or High School diploma
    • 3 -5 years of supervisory/sales experience
    • Experience in tenant relations & entertaining clients
    • Experience working in building operations or cleaning services
    • Knowledge of Company’s “Green” initiatives and practices  
    • Demonstrate ability to lead and motivate staff
    • Working Knowledge of Company Rules Regulations and Policies
    • Able to interact effectively with diverse personas
    • Able to work independently and in a team setting
    • Able to set priorities and maintain functional work environment
    • Effective oral and written communication. Writes and speaks in a clear, concise manner, actively listens and modifies message for recipients
    • Computer skills including databases, Microsoft Word, Excel, Outlook and Aware
