Overview

Provide administrative support services for the One World Trade Center Property Management team to facilitate smooth operations for a designated work team within the organization. This position will interact with a diverse group of internal and external clients at all levels of the organization.  Sound judgment is required to plan, prioritize, and organize a diversified workload to ensure the delivery of high-value support and related services.

Responsibilities

  • Schedule and organize activities, such as meetings, conference calls, travel, tenant events and related logistics
  • Prioritize, organize, prepare and distribute internal/external documents, including memoranda, Process weekly PMO meeting minutes, weekly reports, service requests, POs and contracts in Aware manager and ensure accuracy thereof
  • Ensure accurate maintenance of digital and paper documents and databases for efficient retrieval and disposition
  • Field and prioritize incoming calls and correspondence
  • Assist with special projects as directed
  • Maintain discretion in the handling of confidential information
  • Carry out routine tasks with little supervision
  • Act as liaison with other departments as necessary
  • Perform other duties as defined by assigned department
  • Assist as needed in coding of invoices in Workflow
  • Maintain Critical Dates Log and Calendar for One World Trade Center
  • Maintain and manage office supplies, staff uniforms and consumables.
  • Serve as a resource, advocate, and catalyst for sustainability at The Durst Organization. Apply the skills unique to your core job responsibilities for practical integration of sustainability into processes, standard operating procedures, and adopted business practices. Seek to empower our colleagues, consultants, tenants and residents to prioritize and actively engage in environmental stewardship.
  • Possess the ability to work in a high tempo integrated team environment including but not limited to the PMO, Fire / Life safety, Building services, Security, Security IT, construction departments, Durst Broadcast and the OWTC corporate office.

Qualifications

  • High School diploma or GED
  • College Degree or relevant office administration program certification preferred
  • 3-5 years of administrative experience
  • Ability to interact effectively with diverse groups
  • Ability to work independently and in team settings
  • Possess high level of attention to detail
  • Effective oral and written communication.
  • Maintains a professional demeanor 
  • Intermediate to advanced proficiency in Microsoft Office applications, such as Word, Excel, Outlook, PowerPoint, Aware Manager, DocuSign and VS3

Salary Range: $65,000 - $75,000
