Overview

Provide administrative and logistical support services to facilitate a favorable experience (moving into and out of buildings) for residents throughout the Durst Residential Portfolio. This position will interact with a diverse group of residents.  Sound judgment is required in order to plan, prioritize, and organize a diversified workload to ensure the delivery of high-value support and related services are achieved.

 

The following shift is available:

  • Wednesday - Sunday, 10am - 6pm

Responsibilities

  • Schedule and organize move ins and move outs for residents at the respective buildings including but not limited to coordinating elevator times, and providing options for moving services and utility providers; assistance with activation or termination of utilities.
  • Follow up to ensure the move in was successful and proactively understand how else the experience can be enhanced for the individual.
  • Email timely move in and move out report to Veolia (sub-metering company) as required.
  • Verification of new lease information into MRI including but not limited to request for stove knob covers, amenity membership access, etc.
  • Handwrite welcome cards, assemble, and deliver welcome gifts.
  • Weekly update shuttle reader with residents from Genetec program.
  • Update MRI calendar with moves including transfers.
  • Obtain and verify certificates of insurance and hold harmless agreements; keep track of COI expirations through OrigamiRisk platform, and outreach to vendors for updated insurance.
  • Work with operations team for coordination of apartment make ready process, inspect apartments for completion status prior to move in, update MRI make ready status for leasing and operations reports.
  • Generate and send welcome notice emails and move out instructions.
  • Set up new or remove former residents from MRI, Durst App or Buildinglink, Genetec Security Desk, Amazon Hub, Con Edison, Emsys, and other workflow systems.
  • Complete the move in process, generate and have residents complete required forms, and assist with the download and set-up/demonstration of the Durst App with new residents upon move in. Confirm PTE access (where required), contact information, and emergency contact information.
  • Reconcile resident ledgers and final dispositions including processing of security deposit; escalate balances due to former resident, collections, and management team.
  • As needed, and including but not limited to providing additional support to property management team to maintain resident records, handle resident escalations, be a service advocate, answer calls, assist agents with apartment turnaround times, as well as special projects.
  • Maintain discretion in the handling of confidential information; Carry out routine tasks with little supervision; Act as liaison with other departments as necessary.
  • Serve as a resource, advocate, and catalyst for sustainability at The Durst Organization. Apply the skills unique to your core job responsibilities for practical integration of sustainability into processes, standard operating procedures, and adopted business practices. Seek to empower our colleagues, consultants, tenants and residents to prioritize and actively engage in environmental stewardship.

 

Qualifications

  • 3-5 years of administrative experience.
  • Ability to interact effectively with diverse groups.
  • Ability to work independently and in team settings.
  • Possess high level of attention to detail.
  • Effective oral and written communication.
  • Maintains a professional and friendly demeanor.
  • Intermediate to advanced proficiency in Microsoft Office applications, such as Word, Excel, Outlook, PowerPoint

 

Salary Range: $70,000 - $80,000
